Prop Firm CRM and Back Office Cost (2026)

What a prop firm CRM and back office costs in 2026: bundled, turnkey and standalone options, published prices, and the add-ons that inflate the bill.

A prop firm CRM is the back office: it sells challenges, creates accounts on the platform, tracks rules and breaches, runs KYC at payout, pays affiliates and records payouts. Forex brokers search for "forex CRM price" because their CRMs are sold separately. Prop firms usually get one bundled, and the cost question becomes what is missing and what it costs to add.

Prices are as published on vendor pages, checked 12 October 2026. Most specialist prop CRMs are quote only, and we say so rather than estimate them.

How is a prop firm CRM priced?

There are three buying routes, and each prices the CRM differently.

Standalone prop or forex CRMMost specialist vendorsQuote only; often onboarding plus monthlyPer-integration fees for each platform

What should the CRM fee include?

Compare CRMs module by module. Match-Trader's prop CRM page, for example, lists challenge management, competitions, add-ons, leaderboards, KYC with verification, an IB (affiliate) system, deposits and withdrawals, promo codes, mass mailing and a crypto gateway. Use that as a checklist for any vendor: anything missing becomes a separate line in your budget.

  • Challenge engine: phases, targets, drawdown types, breaches, resets and refunds.
  • Checkout and payments: connections to your card processor and crypto gateway.
  • KYC: which provider is wired in, and who pays per check.
  • Affiliates: tracking, coupon codes, tiers and payouts.
  • Certificates and payout records you can show publicly.
  • Data export: traders, orders, payouts, in a standard format, at any time.

What do the add-ons cost?

If your CRM does not cover a function, buy a focused tool. These are published self-serve prices for common add-ons; check prop-industry fit before you buy.

Published add-on prices (as published, checked 12 October 2026)
Add-onVendor and planPublished price
Affiliate trackingTapfiliate Launch / Scale$89 / $179 per month billed monthly; $74 / $149 billed annually
Live chat and help deskCrisp Mini / Essentials / Plus$45 / $95 / $295 per month per workspace
KYC checksVeriff Essential$0.80 per verification, $49 monthly minimum
KYC checksSumsub Basic$1.35 per verification, $149 monthly minimum

How do you avoid paying twice?

The most common CRM overspend is paying for the same function in two places: an affiliate module in the CRM and a separate affiliate tool, or KYC bundled in the white label and a direct contract with a KYC vendor. Map every function to one owner before you sign anything.

The second overspend is lock-in. A CRM that will not export your data makes every future switch expensive, and platform switches have been frequent since 2024. Ask for a sample export before you pay the onboarding fee.

What should you ask a CRM vendor before you sign?

Because most prop CRMs are quote only, the quote is only as good as the questions behind it. Ask for written answers to each of these, and compare vendors on total cost over two or three years rather than the first month.

  • Is there a one-time onboarding or integration fee, and what does it cover?
  • Is the monthly fee fixed, or does it scale with traders, accounts or sales? Where are the tier boundaries?
  • Which trading platforms are integrated today, and is each platform an extra fee?
  • Which payment processors and crypto gateways are connected, and who holds the merchant account?
  • Which KYC provider is built in, and is the per-check fee passed through at cost?
  • Can I export traders, orders, challenges and payouts at any time, in what format, and at what cost?
  • What happens to active challenges and funded accounts if a platform withdraws from my region?
  • What is the notice period, and is there a fee to leave?

Questions

How much does a prop firm CRM cost?

A prop firm CRM costs nothing extra when bundled with a white label and about $4,000 a month in Match-Trader's published platform-plus-CRM package (November 2024). Most standalone prop CRMs are quote only.

What is the difference between a forex CRM and a prop firm CRM?

A forex CRM manages real-money client accounts, deposits and IBs for a broker. A prop firm CRM adds a challenge engine that tracks evaluation rules, breaches and phase progression, and records payouts to funded traders.

Do I need separate affiliate software?

Only if your CRM lacks affiliate tracking. Tapfiliate publishes plans from $89 a month billed monthly, as of October 2026. Avoid paying for affiliate tracking in two systems.
