Prop Firm Monthly Running Costs (2026)

What a prop firm costs to run each month in 2026: fixed, variable and lumpy lines, with published vendor prices and a worked monthly budget.

Founders budget the launch carefully and the third month badly. That is when fixed fees, the first big payout cycle, chargebacks and processor reserves all land at once. This guide lists the monthly lines of a running prop firm, with published prices where they exist, so you can build a monthly budget rather than a launch number.

Prices are as published on vendor pages, checked 12 October 2026. Ranges that are estimates say so.

What are the fixed monthly costs?

Fixed costs arrive whether you sell ten challenges or a thousand. Spotware's 2026 guide budgets $3,000–$8,000 a month for the tech stack of a typical firm.

What are the variable costs?

Variable costs grow with every sale or payout. They are the reason margin falls as volume rises if you do not watch them.

  • Card processing: about 3.49%–3.95% plus about $0.25 per transaction on high-risk accounts (PaymentCloud's published averages).
  • Crypto processing: NOWPayments from 1%; BitPay 1%–2% plus 25 cents by volume, higher for high-risk industries.
  • KYC per check above the minimum: from $0.80 (Veriff) or $1.35 (Sumsub).
  • Affiliate commissions on each referred sale.
  • Per-account platform fees above plan limits, and profit share on profit-share white labels.
  • Trader payouts, the largest variable line of all.
  • Futures only: exchange market data per user, from CME's fee list.

What are the lumpy costs?

Some costs do not arrive monthly but must be budgeted monthly.

  • Rolling reserves: published guides put them at 5%–10% of card volume, held for months.
  • Chargebacks: from around $20 each on high-risk accounts, plus the refunded sale.
  • Legal reviews when rules or markets change.
  • Platform migrations: firms were forced to switch after MetaQuotes (February 2024), ProjectX (after February 28, 2026) and cTrader's US restriction (from July 1, 2026).

What does a sample month look like?

The example below adds published prices to illustrative volumes for a firm on a fixed-licence platform. It excludes payouts, staff and founder salaries, which vary too much to estimate.

How do running costs differ on a profit-share white label?

On a provider-funded white label, the fixed lines shrink and the variable lines grow. PropSuite publishes $0 monthly, $5 per account, 5% of revenue and a 50% founder share of net revenue, with trader payouts covered by the provider. That suits a firm that wants a predictable floor and accepts a smaller share of good months. Compare both shapes at your expected volume before deciding; our white label cost guide walks through the arithmetic.

How do you keep monthly costs under control?

Review the monthly lines against sales every month, not every quarter. Most overspend comes from tools added during launch and never cancelled, and from variable fees nobody re-negotiates as volume grows.

  • Map every function to one tool, so you never pay for affiliates, KYC or chat twice.
  • Re-quote card processing once you have three to six months of clean history; reserves and rates often improve.
  • Shift part of your volume to crypto if your traders accept it, at published fees from 1%.
  • Check plan minimums against real usage for KYC and platform tiers.
  • Keep a contingency of 10–15% for the lines you will under-budget, as our hub guide suggests.

Questions

How much does it cost to run a prop firm per month?

Running a prop firm on a licensed stack costs roughly $3,000–$8,000 a month for technology, per Spotware's 2026 range, plus processing, KYC, affiliates, support, staff and payouts. On a profit-share white label the fixed cost can be near zero.

What is the biggest monthly cost of a prop firm?

Trader payouts are usually the largest monthly cost for firms that fund them, followed by technology and payment processing. That is why payout rules and a reserve matter more than any software fee.

Are there costs that are not monthly?

Yes. Rolling reserves, chargebacks, legal reviews and platform migrations arrive irregularly. Budget a monthly contingency for them rather than waiting for the bill.
